Cancellation Policy

Thank you for booking a Christmas Mini Session. To ensure every family enjoys a smooth and enjoyable experience, please read the following terms before booking: Booking & Payment Full payment is required at the time of booking to secure your session. Bookings are non-refundable but may be transferable to another family with prior agreement. Session times are allocated on a first-come, first-served basis. Arrival Time Please arrive 5 minutes before your scheduled session time. Any extra costs associated with using the facilities at Cocoa Play Cafe are not included in the cost of the photo session. Due to back-to-back bookings, late arrivals may result in a reduced session time. Arrivals more than 10 minutes late may forfeit the session without refund. Children & Families Parents and guardians remain responsible for supervising children at all times. To help create beautiful images, please ensure children are well-rested and have eaten before the session. Feel free to bring a favourite small toy or treat for younger children if needed. Outfit Guidance Christmas colours, neutral tones, cosy knitwear, and coordinating outfits photograph beautifully. Please avoid clothing with large logos, characters, or distracting patterns where possible. Image Delivery Edited digital images will be delivered via an online gallery within 2 weeks of your session. Additional images may be available for purchase where applicable. Cancellation & Refund Policy Cancellations made more than 14 days before the session date will receive a refund minus a £25 administration fee. Rescheduling If you are unable to attend, please provide as much notice as possible. Requests to reschedule will be accommodated where availability allows but cannot be guaranteed. Photography Style Every effort will be made to capture a variety of poses and natural expressions. As young children can be unpredictable, specific poses or expressions cannot be guaranteed. Marketing & Social Media Images may be used on our website, social media, and promotional materials unless you notify us in writing before your session. Cancellation by Photographer In the unlikely event of illness, emergency, or circumstances beyond our control, an alternative date will be offered or a full refund provided. Agreement By booking a Christmas Mini Session, you acknowledge that you have read and agreed to these terms and conditions. We can't wait to welcome you and help create magical Christmas memories!
